1. Who we are

Roadway Talent (hereafter: "we", "us" or "Roadway Talent") is responsible for the processing of personal data as described in this privacy policy. You can reach us at info@roadwaytalent.com. Roadway Talent offers an AI recruitment system that transport companies in the Netherlands and Flanders use to hire qualified truck drivers. We manage the entire process: from the first campaign contact to a scheduled interview in the client's calendar.

2. Which data we process

We process, among others, the following personal data:

  • From clients: company name, contact person's name, email address, phone number, city, job requirements, salary indication, user data of the shared CRM and communication with us.
  • From drivers (candidates): name, email address, phone number, place of residence/region, driving licence and other certifications (e.g. Code 95, ADR), work experience, availability, language skills, interview notes and other information the candidate provides via our campaigns, AI-driven conversations, qualification calls and appointment scheduling.
  • Technical data: IP address, browser type, device data and website usage data collected via cookies or similar techniques, including conversion data for advertising optimisation.

3. Purposes and legal bases

We process personal data for the following purposes:

  • Delivering our services: AI-driven recruitment, qualification, follow-up and scheduling interviews with truck drivers (basis: performance of a contract).
  • Sharing candidate data with the client via our shared CRM for the purpose of the interview and selection (basis: performance of a contract and legitimate interest).
  • Using AI tools and automated workflows for initial screening, answering questions, appointment scheduling and campaign optimisation, under human supervision (basis: legitimate interest and performance of a contract).
  • Invoicing and administration (basis: legal obligation).
  • Marketing, campaign optimisation and analytics (basis: legitimate interest and, where required, consent).
  • Communication with clients and candidates (basis: performance of a contract / legitimate interest).

4. Sharing with third parties

We only share personal data with third parties to the extent necessary to deliver our services or to comply with a legal obligation. This includes: the client a candidate is introduced to, advertising platforms (such as Meta and Google for campaigns), email and calendar providers, our CRM system GoHighLevel, hosting providers and our accountant. Where required we conclude a data processing agreement with processors.

5. Transfers outside the EEA

Some of our suppliers are located outside the European Economic Area. Where this is the case, we ensure appropriate safeguards such as the European Commission's Standard Contractual Clauses.

6. Retention periods

We do not keep personal data longer than necessary. Candidate data is generally retained for a maximum of 12 months after the last contact, unless the candidate consents to a longer inclusion in our database. Client and invoicing data is retained in line with the statutory period of 7 years.

7. Security

We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access, disclosure and unlawful processing. This also applies to data processed via our shared CRM or AI-driven workflows.

8. Your rights

You have the right to access, rectification, erasure, restriction, data portability and objection to the processing of your personal data. You also have the right to withdraw consent and to object to automated decision-making. To do so, contact us at info@roadwaytalent.com. If you are not satisfied with our response, you can file a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

9. Cookies and tracking

Our website uses functional, analytical and (where applicable) marketing cookies. We use the Meta Pixel and the Meta Conversions API (server-side measurement) to measure conversions and optimise advertising campaigns; your data is hashed before it is shared with Meta. You can set your browser to refuse or delete cookies.

We may update this privacy policy from time to time. The most current version is always available on this page.
